You open WhatsApp to follow up on a customer and see the banner: “Your account is restricted right now.” Existing chats still work, but you cannot message anyone new. For a Malaysian business that takes most enquiries through WhatsApp, even one day of this hurts sales.
This guide covers the temporary WhatsApp Business restricted status only. If WhatsApp says your number is banned and can no longer use the app, read our guide on a banned WhatsApp Business number instead, because the steps are different.
The short official video below from WhatsApp explains how enforcement works on the WhatsApp Business app before we get into the fixes.

Quick Answer: It means WhatsApp has limited what your number can do for a set period, usually because recent activity looked like spam, automated or bulk messaging. You can still reply to existing chats and groups. You cannot start new chats, create groups or use linked devices until the restriction ends.
According to WhatsApp’s own help article on restricted accounts, there are two warnings to know. “Your account may be restricted soon” is a caution. “Your account is restricted right now” means the limit is active. Neither one is a ban.
Businesses on the WhatsApp Business Platform (the API used by CRMs and chatbots) face a separate system. Meta’s WhatsApp Business Platform policy enforcement guide lists escalating blocks for repeated policy violations. Here is how the levels compare:
| Level | What is blocked | How long | Can you appeal? |
|---|---|---|---|
| “May be restricted soon” warning (app) | Nothing yet; it is a warning | Until activity improves | Not needed |
| “Restricted right now” (app) | New chats, new groups, adding members, linked devices | Set timer, shown in the app | No; it ends on its own |
| API messaging block, short | Marketing, utility and authentication templates; adding numbers | 1 to 3 days | Yes, via Business Support Home |
| API messaging block, long | All message types and adding numbers | 5, 7 or 30 days | Yes, via Business Support Home |
| Account lock or disable | All messaging | Indefinite or permanent | Depends on the violation |

If you are not sure which version you use, the WhatsApp Business app is the green app on one phone. The API sits behind a WhatsApp Business Account in Meta Business Suite. Our explainer on how the WhatsApp Business API works in Malaysia covers the difference.
Losing leads while WhatsApp is blocked?
We run Click-to-WhatsApp and Meta campaigns that bring in customers who message you first, which keeps your number healthy. See how ZenWeb runs Meta Ads that drive WhatsApp chats →
Quick Answer: The top cause is messaging people who never asked to hear from you, which leads to blocks and spam reports. Next come bulk sending from the app, unofficial “blaster” tools or modified WhatsApp apps, and adding people to groups without consent. On the API, low quality ratings and policy breaches trigger blocks.
Here is how the root causes break down in WhatsApp restriction cases we have helped Malaysian SMEs work through:
| Root cause | Share of cases |
|---|---|
| Messaging contacts without opt-in (bought or old lists) | 29% |
| Bulk broadcasts or copy-paste blasts from the app | 23% |
| Unofficial bulk sender tools, extensions or modified apps | 18% |
| Adding people to groups without asking | 11% |
| API quality rating dropped to Low | 10% |
| Commerce or content policy breach | 9% |

Festive seasons are the danger zone. Hari Raya, Chinese New Year and 11.11 promotions push many businesses to blast greetings to every saved number. A sudden jump in volume plus a few “Block” taps is enough to trip WhatsApp’s systems. Our guide to festive WhatsApp greetings without being blocked shows a safer plan.
Consent is also a legal issue in Malaysia. WhatsApp’s Business Messaging Policy says you may only contact people who gave you their number and opted in. That lines up with PDPA expectations, covered in our article on WhatsApp marketing and PDPA consent.
Quick Answer: On the WhatsApp Business app, tap New Chat and pick a contact you have never chatted with. A pop-up shows the time left on the restriction. On the API, open Business Support Home in Meta Business Suite and select your WhatsApp Business Account to see each violation and its block length.
The two products show restrictions in different places:
Also check the quality rating in WhatsApp Manager. A rating stuck at Low often comes before a block. Our guide on a low WhatsApp quality rating explains how to read it and recover.
Quick Answer: On the app, you cannot speed up a restriction. Stop the activity that caused it, keep serving existing chats and wait for the timer. On the API, fix the cause, then request a review in Business Support Home with clear evidence. Meta returns a decision of Unchanged or Reversed, usually within 24 to 48 hours.
Keep your appeal factual. Mention that your customers opted in, how they opted in (website form, in-store QR code, past purchase) and what you have stopped doing. If a template caused the issue, our guide to rejected WhatsApp template messages shows how to rewrite it so it passes review.

Quick Answer: App restrictions are short, and WhatsApp shows the exact time left inside the app; in cases we see, many lift within about a day. API blocks run 1 to 3 days for template-only blocks and 5, 7 or 30 days for full blocks. Repeat offences get longer each time, and a lock lasts until an appeal succeeds.
Here is the realistic timeline from the moment you notice a restriction, so you know when to wait and when to act:
| Stage | Typical time | What happens |
|---|---|---|
| App restriction timer | Often about a day | New chats open up again automatically |
| API review decision | 24–48 hours | Unchanged or Reversed in Business Support Home |
| API template-only block | 1–3 days | Templates resume; service replies may still work |
| API full messaging block | 5, 7 or 30 days | All sending resumes when the block ends |
| Quality rating recovers | About 1–4 weeks | Rating moves back up as blocks and reports fall |

We cannot promise that any review will be reversed, and nobody honest can. What we see is that clean, opted-in lists and a pause in outbound sends give the account the best chance of a quick return. If the block also cut your daily sending tier, see our guide on raising a low WhatsApp messaging limit.
Quick Answer: Do not create a new number or account to get around the block. Do not switch to modified WhatsApp apps or keep sending from other phones. These moves break WhatsApp’s terms and can turn a temporary restriction into a permanent ban for your business.
When sales are on the line it is tempting to look for a workaround. These are the ones that usually make things worse:
| Tempting workaround | Risk | Do this instead |
|---|---|---|
| Register a new SIM to keep blasting | Seen as evading enforcement; the new number can be banned too | Serve existing chats and wait out the timer |
| Install a modified WhatsApp or bulk sender | Breaks the terms; a common trigger for permanent bans | Use only the official app or the official API |
| Ask staff to message leads from personal numbers | Customers report unknown numbers; PDPA and brand risk | Email or call warm leads who already know you |
| Appeal repeatedly with no changes | Decision stays Unchanged; history counts against you | Fix the cause, then file one clear review |
| Move the number to the API mid-block | Migration can fail and the issue follows the number | Finish the restriction, then plan the move properly |

Moving to the API is often the right long-term step for a growing business, but do it after the restriction ends. Our guide on moving a number already on WhatsApp to the API explains the safe sequence. WhatsApp’s Business Terms of Service also make clear that misuse can lead to permanent removal.
Quick Answer: Message only people who opted in, make it easy to opt out, and let customers start the chat wherever possible. Keep broadcasts small and relevant, use official tools only, and watch your quality rating weekly. Most repeat restrictions we see come from going straight back to the same habits.
Quick Answer: Bring in help when an API block repeats, or when a review comes back Unchanged and you are sure you followed policy. Do the same if WhatsApp is your main sales channel and you cannot afford trial and error. A Meta specialist can audit the cause, prepare an honest appeal and rebuild a safer lead flow.
WhatsApp restrictions rarely happen alone. The same Business Manager often holds your Facebook profile, Instagram and ad accounts, so trouble in one place can spill over. If your Meta assets are also affected, these guides help:
At ZenWeb, a Google Partner agency with 500+ clients, we set up and manage Meta campaigns that send customers into WhatsApp the right way. If your WhatsApp Business is restricted again soon after a fix, that is a sign the lead flow itself needs work. Our Meta Ads management service covers ad setup, Business Manager health and the lead flow behind it.
No. A restriction is temporary and limits features such as starting new chats. A ban means your number can no longer use WhatsApp at all. Restrictions on the app end automatically, while a ban needs a review request.
Not usually. WhatsApp says no action is needed and the restriction ends when the time runs out. Reviews apply to bans on the app and to violations on the WhatsApp Business Platform, filed through Business Support Home.
Yes. You can keep chatting with contacts and groups you have talked to before, and customers can still message you. You just cannot start chats or calls with new contacts, add group members or use linked devices.
No. A restriction does not delete your chats, catalogue or business profile. They stay in place, and full sending returns when the restriction ends, as long as the cause does not repeat.
